Position: Bid Coordinator (Part-time, Remote, in Belize)
Job Overview:
We are seeking a motivated and detail-oriented Bid Coordinator to join our team on a part-time, fully remote basis. The successful candidate will support the bid and proposal process by coordinating the preparation and submission of high-quality responses to Expressions of Interest (EOI), Requests for Proposals (RFPs) and other solicitation documents. This role requires strong organizational skills, excellent attention to detail, and the ability to work under deadlines while ensuring accuracy in all deliverables. The position is remote but based in Belize, and the candidate must be authorized to work in Belize. Possibility for the position to transition into a full-time role.
Key Responsibilities:
Bid Screening: Review and analyze incoming RFPs and other solicitation documents to assess their relevance, feasibility, and alignment with the company's capabilities and goals before proceeding with a response.
Bid Coordination: Collaborate with relevant actors, internal and external, to coordinate and organize all aspects of the bid process, from gathering content to final submission.
Consultant and Expert Sourcing: Research and identify potential consultants and experts needed for each project and assignment. Contact candidates to gather necessary information, including resumes and relevant experience. Review profiles and shortlist the most qualified individuals for each assignment.
RFP Response Management: Manage the preparation and submission of proposals, ensuring timely and accurate responses to RFPs, Requests for Information (RFIs), and other client solicitations.
Content Development: Assist in drafting, editing, and reviewing proposal content, ensuring clarity, consistency, and alignment with client needs and company capabilities.
Document Management: Maintain and organize all bid documentation, ensuring compliance with client requirements and internal standards.
Submission and Tracking: Coordinate electronic and physical submission of bids, monitor deadlines, and track bid status and outcomes.
Team Coordination: Communicate with internal stakeholders to collect necessary input, including technical details, pricing, and project timelines.
Compliance and Quality Control: Ensure that all bid submissions comply with legal, financial, and operational requirements, maintaining the highest standards of quality throughout the process.
Experience and qualifications:
Previous experience in bid or proposal coordination.
Proven experience in drafting proposals, with a solid understanding of bid processes and procedures.
Proven experience in shortlisting consultants to assemble project teams in accordance with technical evaluation matrices.
Strong writing, editing, and proofreading skills in English; Spanish is a plus but is not mandatory.
Ability to manage multiple projects with tight deadlines and working effectively under pressure.
Excellent organizational and time management skills.
Responsible and detail-oriented with a strong focus on meeting deadlines.
Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint).
Ability to work independently in a remote setting, deliver expected results with limited supervision, and maintain effective communication with the team.
A valid driving license and access to a car are highly desirable.

Work Hours:
